Prohire achieves ‘measurable’ maintenance efficiency with digital solution 10 February 2016

Commercial vehicle fleet management specialist Prohire is reporting “measurable gains” in cost control and efficiency since implementing the latest web-based compliance system from r2c Online.

The operator has 3,500 commercial vehicles and needed a way to improve its fleet maintenance compliance processes, which were highly labour intensive.

Prohire’s operations manager Mick Steele says the firm found its solution in r2c Online’s i2i platform.

“Inspection sheets and supplier invoices were previously printed and processed for compliance checking and approval,” he explains.

“We recognised that r2c Online… offered the potential to digitise and automate these processes, which would result in significant efficiency improvements.”

And Steele adds: “Efficiency was the main driver for us and we have already seen significant, and importantly, measurable gains for everyone.

“Everything is just quicker now: service inspection paperwork is automated, authorisation is electronic and easier to manage, and we can divert more focus to customer service orientated tasks with the time savings we have realised.

“At the end of the process we receive pre-reconciled invoices, massively reducing queries and telephone calls for customers, supplier and ourselves.”

The result, he says, is that Prohire can deal with at least twice as many authorisations per day.

Launched in 2015, i2i (‘issue 2 invoice’) is r2c Online’s web-based SMR booking, pricing, authorisation and e-invoicing platform.

In its first six months, the system processed more than £1 million of monthly maintenance spend – and the figure is growing each month.
