J Ryan Group leads the way with paperless docketing from Eureka

One of Ireland’s best known and long-established hauliers reports major time savings, faster reporting, improved transparency and reduced admin since switching from a paper-based transport management system.

J Ryan Group is a family-run business, established in the 1970’s in Ballywilliam, Wexford by founders Jerry and John Ryan. From its main office in Kill, Co Kildare, the company specialises in bulk excavations, demolition, asbestos removal and aqueous waste handling for customers throughout Ireland.

“We recognised the need to introduce a digital fleet management system,” said office manager, Aoifa Hughes, “which could match our specific operational needs and be developed in line with our expanding business. Eureka came well recommended, so back in 2018, we embarked on a programme working together to produce a number of tailored software solutions.”

To this end, explains Aoifa, J Ryan quickly became one of the first hauliers in the industry to introduce a paperless docketing system and were soon seeing the benefits of digital reporting and record keeping.

“The Eureka MoveIT system gives us instant access to live data, which means we can plan, monitor, control and verify all jobs, while keeping customers fully informed at all times,” said Aoifa. “For example, with the drivers’ web portal, the management team can book jobs the night before using pre-made templates, then add weights, signatures, tip docket images etc., all connected to the actual type of work being carried out.”

According to Aoifa, because the digital system has removed the need for each of their 70-plus drivers to use conventional docket books, many hours are saved through faster processing, human error is greatly reduced and paperwork is no longer at risk of going astray.

“We are saving at least 10% on work and invoice processing while greatly improving accountability and accuracy surrounding every job," said Aoifa. “Moreover, the EPOD (electronic proof of delivery) App enables drivers to collect a digital signature for each collection and delivery, which minimises any potential disputes, cuts out the paperchain and once the job is complete, allows us to invoice the customer right away.”

AER (annual environmental reporting) is another area where J Ryan Group has been able to reduce admin time, largely through instant access and retrieval of digitally stored data. 

“This is certainly a major annual task, and calls on a great deal of our time,” added Aoifa. 

“However, the Eureka system has brought significant benefits, and we are looking for further development in this area. It’s reflective of our close working relationship and the excellent ongoing support which we receive from the team at Eureka.” 

J Ryan Group operates a mixed fleet of 70 rigid and articulated vehicles throughout Ireland and the UK. The company is a member of the Irish Road Haulage Association (IRHA) and Freight Transport Association Ireland (FTAI).
